Some changes to the membership process have already been implimented and are being actioned.
The PO box will be checked by River at least once a fortnight - possibly once a week. (And before anyone comments getting to the PO Box is a dust off the car and drive to it exercise)
River will assigne forum access to all new members as their forms are received so this will be a much much faster process.
Toymods merchandise has been re-organised and now has improved storage to speed up the mailout of membership packs once the handover of the manual forms has taken place.
These changes are all already in place. But yes we are still waiting on Shirts. This has been due to a problem with the embroidery and we shoudl have them soon. It was beyond our new suppliers control and not the norm.
We have other improvements in process but the above is what has happened so far.

at this point in time, perhaps the club needs more donations of people, and peoples time, rather than just the giving money and thinking that is enough?
the club is not about money., heck it is a non-profit organisation
the club is abotu the club, about the people, about people getting together to enjoy their cars... in person... away from the forum (which is just a convenient resource that the club decided would help the greater community by letting outsiders join... now the outsiders think the forum is their own, and that is has nothing to do with the club)

As a paying interstate member I would like to to put forward a few ideas.
Firstly, I paid in person my first membership mid 2007 when I was in Sydney on a very short visit (thankfully to the right person). Since then I have paid via money order each year upon renewal. I received my membership pack only a couple of months ago, and can understand the delays. Also I have been told my renewal items are currently on their way, so I am happy that is happening too. One thing that did occur reasonably quickly for me though, was the forum access.
I would like to propose that upon receipt of membership application, the proposed member gets an email, letter or PM to acknowledge receipt and give an interim membership number. This can be a semi-automated message and would not take up much time, could be done by River, or a designated helper. Once the membership has been approved, forum access should be opened up to full membership level, and a second email/letter/pm sent out (again semi automated) saying that the membership has approved, the previously given membership number is now valid, forum access has been opened up and the membership pack is being assembled. An estimated time for the pack to be sent out should be given (ie if the shirts are ready to go, it shouldn't take long, if you are waiting on something, then identify the delay). This would not be hard to estimate, and a standard disclaimer that unexpected delays may occur should cover you.
This would keep the paper work as is, and may not speed things up much, but having a defined procedure should prevent anything going missing, and keep the new member informed and at a reasonable state of happiness. Once the membership is approved, the money should then be cashed to the Toymods account as appropriate.
My other suggestion is that to complement the board, some less demanding roles should be created to allow members who may only be able to offer some time, or may be remote, might be able to perform some of the duties as a proxy. So if we said that Riverina were a Toymods member, but could only volunteer small amounts of time and could not attend all meetings, thus could not be a board member, she may become a proxy member, and help River collect the mail, or sort the mail, or create the initial contact emails to would be members. Once membership becomes more electronic, then some of us remote members (even if a chapter were created in QLD, no doubt it would be a Brisbane thing and I would still not be able to attend meetings) would be able to help out with some of the more administrative/housekeeping and less managerial tasks, to help take the pressure off the board.
I hope that all people understand how hard the board is currently trying to rectify the past and present shortcomings, and I can only hope that in the future things will start sailing a lot more smoothly.
